Job Overview
Under the direction of the Director General, the administrative associate is responsible for providing a number of support services and functions to the Director General office in an appropriate manner. The administrative associate is expected to provide front-line services to the Director General office through receiving inquiries and providing adequate reporting and classification. Time management duties is crucial in terms of scheduling and arranging appointments, meetings and assisting in coordinating special events.
Responsibilities and Duties
1. Provide administrative support to the Director General office including scheduling meetings, organizing material, providing office supplies, etc.
2. Manage the Director Generals calendar to arrange meeting requests and make appropriate referrals to other needed offices.
3. Work on proposals, sheets and documents. Mastering Microsoft Word and Excel is needed.
4. Provide needed material to the Director General on daily basis.
5. Receive requests and classify it for review by the Director General.
6. Coordinate travel needs/ transportation requests for the Director General and the office if needed.
7. Provide excellent front-line services to the Director General office through receiving phone calls, requests from staff members or the public and refers them to the Director General.
9. Manages hospitality tasks to include sending appropriate greetings/condolences when needed.
Qualifications
· Admin assistant experience, but fresh graduates are welcome to apply
· Knowledge of office management systems and procedures
· Excellent time management skills and ability to multi-task and prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills
· Proficient in MS Office
· At least – years of experience in the field or in a related area
· Attainment of University/College Degree – a must.
· Very good Arabic language command – spoken and written.
· Excellent English language command – spoken and written.
· Very good communication written and verbal skills – to be interactive with various department members (face-to-face and over the phone).
· Accuracy: to maintain high-quality delivery in all task.
· German Language speaking is a plus
