Job description:
A.OPERATIONS:
•Create schedules, tracking and monitoring progress to ensure work is delivered on time.
•Opening the tasks for all jobs with the opening of the job number, updating it regularly to ensure proper maintenance and completion of job files by the support of the staff.
•Follow up on all the jobs in progress and monitor their status to ensure that art/creative/digital outputs remain on schedule and deadlines are met.
•Organize late-night support when required to work on new business pitches when necessary.
•Organize purchasing of freelance resources, slides, photographers, etc.
•Ensure a systematic and efficient filing system is maintained for all quotation/invoices/approvals/POs documents, dealt with, by client or brand, with accurate job numbers (within the “job bag” responsibility).
B.HUMAN RESOURCES:
•Develop and maintain job descriptions for all roles across the Agency.
•Ensuring the development of the HR policies and procedures manual.
•Recruitment – sourcing, interviewing, negotiation of salary.
•Develop an Induction program for new joiners and take them through it, provide them with the “New Joiners” manual in their first week of employment, and coordinate with their superior to be aware of their progress after the 3 months probation to proceed with HR revisions as needed.
•Collect and maintain employees’ personal records on matters such as employment history, salary, benefits, leave, training, promotions, loans, transfers, etc.
•Administer the attendance system and ensure that all logistics are covered and maintained and that the proper calculations are proceeded with at all levels, along with the annual leaves’ monitoring.
•Manage the Performance Evaluation. •Management Process across the Agency.
•Develop, plan, and conduct training programs for the agency departments.
C.ADMIN:
•Ensure the Agency working environment is well-managed, safe, and secure.
•Assisting with typing requirements as / when required.
•Be responsible for identifying and troubleshooting day-to-day, ensuring all works are carried out efficiently.
•Maintain an accurate record of contracts, value, termination dates, and other details applicable and ensure contract terms are adhered to.
•Responsible for the travel and accommodation process with the Travel agency.
•Operate the switchboard for the Agency, answering calls in a polite and efficient manner ensuring calls are directed to the correct contacts.
•Provide a meet and greet service to clients and visitors.
•Update telephone and email lists.
•Maintain the reception area and meeting room to the highest standard of appearance and efficiency.
