Job Description

  • Finalize general administrative tasks.
  • Organize meetings, including School meetings and Subject Committee meetings, that are assigned by the Head of School.
  • Draft agendas, prepare and circulate documents to members.
  • Attend meetings and draft meeting minutes for consideration by the Head of School.
  • Carry out relevant follow up work from meetings and advise staff of their own actions and follow up.
  • Accountable for some tasks in the absence of the Head of the School to ensure that urgent school matters are referred to appropriate staff for action where relevant.
  • Ensure appropriate academic staff records, including sickness/absence and annual leave.
  • Maintain daily record for all the faculty resources, equipment, etc.
  • Support the Head of School in fulfilling his/her academic and administrative responsibilities pertaining to the school.
  • Participate in preparing and scheduling exams invigilation.
  • Maintain and archives of school student records, including contributing to the timely and accurate maintenance of student names and addresses, using the central computerized student records system.
  • Provide a school collection and transmission service for forms and papers affecting the student record, and an assessment collection and return service, as required.
  • Prepare and disseminate the exam board agenda.
  • Upload the completed marksheets to the APU.
  • Ensure marksheets and module boxes have been prepared and sent to the external examiners and link tutors.
  • Ensure the SAB/PAB sheets are correct and in line with the student marks.
  • Exam Board related administrative tasks.
  • Undertake any other duties as directed by the relevant line manager, commensurate with the level of the post.
  • Assist students by determining who can best provide information needed by them.
  • Provide basic and initial assistance to students with questions about classes, registration, permissions, etc. using established guidelines. (Information in course catalogs, program and school documents, and established policies and procedures).
  • Handle students complains and help or guide them with the proper actions.
  • Help in preparing events for students in cooperation with the Career services office such as Guest Speakers and field trips as well as coordinate with all the required departments to hold the event.
  • Prepare attendance sheets for students and maintain their attendance on the university system
  • Follow up with student submissions and assignments.

Job Requirements

  • Bachelor’s degree in any relevant major
  • 2-3 years of experience in the same role
  • Must have a Very good command of the English language both written and spoken.
