Job Description

  • Establish strategies and goals for the administration department to implement the administrative vision of the company.
  • Manage the administration budget and maintenance schedule for supplies and equipment.
  • Set the forecasting and release plans of new office buildings or new projects to ensure that facilities are able to be delivered in the most effective way.
  • Ensure that all needs for pool cars are met. Ensure that all reports submitted to the line manager match the budget for the total number of rental cars and facilities.
  • Reviewing all car expenses including fuel and following up on vehicle maintenance scheduling to ensure efficiency.
  • Oversee the requests of accommodation (hotel reservations and airline tickets ) from the requesting department.
  • Follow up on the buffet and cleanliness budget and ensure that it is not exceeded.
  • Follow-up of the daily movement of Couriers, working hours and overtime (if any).
  • Follow-up of all departments of the administration (stores – delegates – auxiliary services – drivers).
  • Follow up the receipt of incoming shipments from shipping companies and ensure that they are delivered to the concerned departments.

Job Requirements

  • Bachelor’s degree in a relevant field is required.
  • 5 – 8 years’ experience previous related work experience.
  •  In-depth understanding of office management procedures and departmental and legal policies.
  • Familiarity with financial and facilities management principles.
  • Proficient in MS Office.
  • An analytical mind with problem-solving skills.
  • A team player with leadership skills.
