Job Summary:
As Executive Assistant / Office Manager, you will be responsible for providing high-level administrative support to the Chief Executive Officer (CEO) and ensuring the smooth functioning of the executive office. You will handle a wide range of administrative, organizational, and coordination tasks, enabling the CEO to focus on strategic initiatives and decision-making. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality while working in a fast-paced and dynamic environment.
Responsibilities:
Executive Support:
· Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring optimal use of time and resources.
· Prepare meeting agendas, presentations, and necessary documents, and provide briefing materials to the CEO in advance.
· Administrative Management:
· Organize and prioritize incoming requests and correspondence, ensuring they are addressed in a timely and efficient manner.
· Prepare and review reports, memos, letters, and other documents on behalf of the CEO.
· Arrange travel itineraries, accommodations, and logistics for the CEO and other executives as needed.
· Oversee the day-to-day operations of the executive office, ensuring smooth workflow and efficiency.
· Implement and maintain effective filing systems, both physical and electronic, for easy retrieval of documents.
Event and Project Management:
· Assist in organizing and coordinating special events, executive meetings, conferences, and other company-wide activities.
· Collaborate with cross-functional teams to support project management initiatives, ensuring timely completion of deliverables.
· Assist in preparing and monitoring budgets related to office operations and special projects.
Requirements:
· Excellent written and verbal effective communication skills in both English and Arabic. Fluency in English is a MUST
· Bachelor’s degree in Business Administration or a related field is preferred. MBA is plus
· Minimum 10 years of proven experience as an Executive Assistant, Office Manager, or similar role supporting CEO.
· PR experience is plus
· Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
· Strong attention to detail and problem-solving abilities.
· Exceptional verbal and written communication skills.
· Proficient in using office software and collaboration tools, including MS Office and project management platforms.
· Ability to multitask and work under pressure in a fast-paced environment.
